By submitting a vendor application and/or paying for a vendor table, you agree to the following terms and conditions:

Vendor Eligibility

Hidden Gems Card Show reserves the right to approve or deny any vendor application at its sole discretion. Submission of an application does not guarantee acceptance into the event.

 

Table Reservations & Payment

Vendor spaces are reserved only after approval and receipt of payment. Payment must be received by the deadline provided in the approval notification.

Failure to submit payment by the stated deadline may result in forfeiture of the reserved space.

 

Cancellation & Refund Policy

Vendor fees are non-refundable unless the event is canceled by Hidden Gems Card Show.

If a vendor is unable to attend, the vendor may contact event organizers to discuss available options; however, refunds are not guaranteed.

In the event of circumstances beyond the control of Hidden Gems Card Show, including but not limited to severe weather, venue closures, government restrictions, natural disasters, or other force majeure events, organizers reserve the right to reschedule the event and issue refunds.

 

Merchandise Requirements

Vendors may sell trading cards, collectibles, memorabilia, gaming products, and related items.

The following items are prohibited:

• Counterfeit merchandise

• Stolen merchandise

• Illegal goods

• Items that infringe on intellectual property rights

• Offensive, discriminatory, or inappropriate materials as determined by event organizers

Vendors are solely responsible for ensuring that all merchandise offered for sale is authentic and legally owned.

 

Conduct

Vendors are expected to conduct themselves professionally and respectfully toward attendees, venue staff, fellow vendors, and event organizers. We aim to create a family friendly environment which welcomes anyone and everyone.

Hidden Gems Card Show reserves the right to remove any vendor whose conduct is disruptive, threatening, abusive, fraudulent, or otherwise detrimental to the event. No refund will be issued in such cases.

 

Setup & Teardown

Vendors must complete setup during designated setup hours provided before the event.

Vendors agree not to begin teardown or vacate their tables before the official event closing time unless approved by event organizers.

 

Table Sharing & Subleasing

Vendor spaces may not be transferred, shared, assigned, or subleased to another party without prior written approval from Hidden Gems Card Show.

 

Liability

Vendors participate at their own risk.

Hidden Gems Card Show, its organizers, employees, volunteers, venue partners, and affiliates shall not be liable for any loss, theft, damage, injury, claim, expense, or other liability arising from participation in the event.

Vendors are responsible for safeguarding their merchandise, cash, equipment, displays, and personal property.

 

Taxes & Legal Compliance

Vendors are responsible for complying with all applicable federal, state, and local laws, regulations, licensing requirements, and tax obligations related to their sales and business activities.

 

Photography & Marketing

By participating in the event, vendors grant Hidden Gems Card Show permission to photograph, record, and use images of vendor booths, displays, merchandise, and personnel for promotional, marketing, and advertising purposes without compensation.

Event Rules

Hidden Gems Card Show reserves the right to establish, modify, and enforce additional event rules as necessary to ensure a safe, professional, and enjoyable experience for all participants.

Agreement

By submitting a vendor application and/or purchasing vendor space, I acknowledge that I have read, understood, and agree to these Vendor Terms & Conditions.
